Human Resources Administrative Assistant

Job Description
  1. Post and update career opportunities in system and on communication boards.
  2. Coordinate, administer and  track  all  candidate interviews, new hire paperwork, performance reviews,  New Hire Orientation, Benefit tracking, wage increase tracking, and any other required tests for all potential new hires.
  3. Generate rejection letters to applicants not hired. Generate offer letters to all those selected
  4. Coordinate all required training courses for hourly and salaried team members
  5. Communicate benefits and Human Resources related information and changes via bulletin boards, memos, flyers, newsletter, etc in a timely manner.
  6. Maintain bulletin boards and TV's with communication updates on Pier happenings
  7. Assist in the preparation of all associate events including but not limited to, monthly Fifteen Minutes of Fun, monthly Birthday Celebration, Keely Stand Up Meeting, quarterly team member of the quarter, Annual Family Day, Annual Summer Outing and Annual Holiday Party.
  8. Oversee administration of Associate Recognition Programs including preparation of ballots and awards for A-Team, Manager of the Quarter and Associate of the Year, administration of Caught in the Act Program, Birthday Lists/cards programs, Holiday Cards and other recognition / associate relations programs..
  9. Coordinate years of service award programs for Chelsea Piers and Pier Sixty  including monitoring list of recipients, coordination of photos for Chelsea Piers and ordering of  service awards.
  10. Handle Human Resources administrative duties as required by the Director of Human Resources and/or General Manager.
  11. Maintain par stock levels of HR/Accounting department supplies.
  12. Oversee and maintain active and inactive associate files in neat and organized manner.
  13. Create and maintain medical/benefit files for all associates.
  14. Maintain the I-9 Files through monthly audits.
  15. Complete wage statements verifying employment status and earning information for unemployment.
  16. Act as a resource to all associates
  17. Assist with monitoring Safety related programs.
  18. Complete special projects as assigned by the Director of Human Resources.
  19. Travel, as necessary, to different properties/venues.
  20. Perform all reasonable requests by the management team.
  21. Attend and participate in all scheduled meetings and training sessions.
  22. Follow proper time keeping policies and procedures
  23. Follow the sign in and out procedure for keys.
  24. Know and follow all  Pier Sixty emergency and safety procedures.
Skills & Requirements
  • Any combination of education training or experience that provides the required knowledge, skills and abilities equivalent to an Associates Degree.
  •   1or more years of  Administration experience or equivalent.
  • Hospitality / Retail Industry experience preferred.
  • Exceptional interpersonal skills.
  • Understanding of Windows Based software, specifically Word, Excel and Powerpoint; prior experience with HRIS system i.e.ADP workforce
  • Excellent organizational and administrative skills, attention to detail and follow up skills.
  • Ability to meet deadlines
  • Ability to handle multiple priorities
  • Ability to work independently.
  • Bilingual preferred.
  • Ability to communicate work related information to co-workers, supervisors and clients.
  • Able to work flexible work schedule in order to accommodate business levels.
  • Ability to maintain high degree of confidentiality.
