Facilities Coordinator

Job Description

The Facilities Coordinator will work with the Facilities Managers and Director to support facilities activities. Work as a liaison between the restaurant teams and vendors to keep the restaurant’s equipment properly maintained. This includes paperwork for purchase orders and invoices, vendor onboarding, organizing warranty information, uploading of various documents and working with our work order network system. Responsible for carrying out administrative duties for restaurant R&M projects.



• Summarize Period reporting vs Budgets on G&A and Capital Projects from other department’s information.
• Collect and manage insurances, signed contracts from vendors and send out cancellation notices.
• Communicates policies to vendors such as how to invoice properly and how to use the work order network
• Collect and upload survey data for various projects from operations
• Keeps track and is point person for warranty
• Supports in creating power point presentations
• Aids in organizing meetings
• Management of work order network system (Corrigo), including training of vendors
• Upload warranty information for replacement equipment
• Manage restaurant R&M – approve quotes and manage R&M vendors


• Facilitates pars, purchase orders, and invoices
• Assist FM’s out in the field
• Point person for warranty procedures and assists in resolutions of warranty issues
• receives and prioritizes incoming operations calls pertaining to all warranty and r&m troubleshooting & questions
• Other duties as assigned by supervisor


• Three years of general project coordination experience, preferred
• Knowledge of Microsoft programs
• Prefer knowledge of work order network systems such as Corrigo or Service Channel
• Prior experience in a facility maintenance environment, preferred

Knowledge, Skills and Abilities:

• Ability to work independently, with minimum supervision
• Proficient in Microsoft Office suite of computer programs including but not limited to Word, Excel, PowerPoint, Outlook and One Drive
• Work with Data Programs such as Work Order Networks
• Strong Communication Skills both verbal and written
• Highly Organized
• Team Player with a Positive and Enthusiastic Attitude
