Your Responsibilities
Maloney Properties is seeking a Front Desk Receptionist to join a team of housing professionals in Boston, MA. The work hours are 8:00am to 4:00pm, Monday to Friday. This position serves in a dual front-desk and administrative/clerk capacity, combining high-quality resident hospitality with property operations, financial data entry, vendor coordination, and access management. The Front Desk Receptionist will maintain a welcoming and professional lobby environment while serving as a key administrative resource for property management staff, residents, and building operations.
Key responsibilities include:
- Serving as the primary, highly visible point of contact for residents, guests, vendors, and service providers.
- Greeting visitors, responding to resident inquiries, and supporting the consistent application of established building policies and procedures.
- Monitoring building entrances and access-control systems and authorizing visitors, vendors, and others in accordance with established protocols.
- Managing incoming mail and packages, including intake, logging, secure storage, resident notification, and deliveries, as appropriate.
- Answering multiple telephone lines, monitoring front-desk communications, and preparing routine property correspondence.
- Maintaining a clean, organized, and professional reception and lobby environment.
- Posting invoices, accounts-payable documentation, work orders, resident payments, bank deposits, and other routine financial and administrative tasks in accordance with established procedures and systems.
- Receiving resident maintenance requests, accurately entering work orders, and coordinating with maintenance staff and others, as needed.
- Conducting routine property rounds, observing common areas and entrances, and promptly reporting maintenance, safety, security, or housekeeping concerns to the appropriate management and/or maintenance staff member.
- Supporting management operations regarding resident communications, property-management initiatives, and other administrative duties as assigned.
