Summary of Duties and Responsibilities:
Under the supervision of the Director, performs the following clerical duties to include but not limited to answering the primary phone number, routing calls to appropriate person, greeting visitors, managing entering guests and customers, and providing customer service support to all JEVS employees. Support managing incoming/outgoing mail. Assist in maintaining electronic health records of participants and ensuring the participants’ eligibility. Prepare JEVS invoices for transportation. Perform other clerical duties as needed.
Shared Duties and Responsibilities to include but not limited to:
- Provide customer service support to all employees as well as the agency.
- Process all outgoing mail and assist all staff when needed with postage and mailing information.
- Send prepared invoices and expense forms to CLHS Invoice email for processing.
- Maintain Xerox machines, shredding machines, ordering toner, clearing minor jams, and contacting service when needed. Make sure that all copiers are stocked with paper daily.
- Maintain all Consumer Data in Electronic Health Record and pull mailing list as needed.
- Check Eligibility of participants on a daily base within the CBH portal.
- Upload completed Recovery Plans into the CBH Portal
- Scan and upload all documents into Care Logic and store in appropriate locations.
- Assists staff in filing documentation into paper charts.
- Complete MA Transportation forms for participants in the psychiatric rehabilitation program.
- Creating a new employee record. Maintain electronic forms of commonly used forms and prepare copies/packages, as necessary.
- Monitor incoming faxes and forward to appropriate staff.
- Update Ashton Phone list
- Other duties as assigned.
Educational Requirements:
High School education or equivalency.
Work Experience Requirements:
Three years appropriate experience.
Other Job-Related Requirements:
Must be proficient in Word and Excel.
Must be proficient with using the computer, record management systems, and other software packages.
Must be able to operate and use office machinery to include copy machines, scanner, postage machines.
Must be available to take certified mail to the post office as needed.
The pay for this position is $17/hour. Base pay is one part of the Total Compensation that JEVS Human Services provides to recognize employees for their work.
