Job Description

The Admissions Executive plays a central role in creating a welcoming, organized, and relationship-centered admissions experience for prospective and current families. As a member of a collaborative Admissions team, this individual balances exceptional customer service with operational excellence, recognizing that every interaction and process contributes to building the Singapore American School community. Working closely with colleagues across the school, the Admissions Executive exercises sound judgment, takes ownership of responsibilities, and supports individual and team priorities in a manner that reflects the school's mission, values, and commitment to belonging.

Position Responsibilities:

Family Experience & Community - Contribute to a welcoming, relationship-centered admissions experience by supporting prospective and current families throughout their journey with Singapore American School.

  • Serve as a welcoming and professional representative of the Admissions Office during drop-in visits, phone and email communications, campus tours, and other family interactions.
  • Support the SAS Community Ambassadors by providing guidance and assistance in their daily work.
  • Organize and coordinate in-person and virtual admissions events.
  • Coordinate corporate, VIP, relocation agency, and prospective family visits.
  • Lead individual and group campus tours for prospective families.

Team & Office Operations - Support the effective daily operation of the Admissions Office by building strong working relationships, embracing shared responsibility, and contributing to the success of the team.

  • Maintain a welcoming, organized, and visitor-ready admissions lobby.
  • Provide administrative support to the Director of Admissions and departmental priorities.
  • Provide operational support to the Admissions team by contributing to shared priorities and adapting to changing operational needs.
  • Cover the front desk reception daily for the Community Ambassadors as needed.
  • Provide backup support by managing Admissions inboxes, phone calls, front desk coverage, and other office responsibilities as needed.
  • Manage departmental purchasing, supplies, and hospitality resources.
  • Coordinate departmental work requests and facilities-related work orders.

Admissions Operations - Support accurate, efficient, and well-organized admissions processes that ensure a seamless experience for families and colleagues.

  • Coordinate scheduling of English language proficiency testing for applicants.
  • Support the Ministry of Education (MOE) waiver process.
  • Coordinate new family onboarding communications.
  • Coordinate leave of absence requests and related admissions processes.
  • Prepare and distribute admissions communications through the admissions database system.
  • Maintain accurate and organized admissions records, correspondence, and documentation.
  • Maintain the confidentiality of admissions records and sensitive information.

Continuous Improvement & Collaboration - Support the ongoing development of the Admissions Office by contributing ideas, improving processes, and collaborating effectively with colleagues.

  • Actively contribute ideas that enhance Admissions Office operations and the experience of prospective and current families.
  • Support departmental projects and initiatives that advance the goals of the Admissions Office.

Other Responsibilities:

  • Ensure compliance with all school’s policies and procedures as related to this position.
  • Attend staff meetings and participate in school wide and office planning activities.

Skills & Requirements

Qualifications:

  • Diploma or higher qualification from a recognized institution, or equivalent.
  • A genuine interest in working with people and creating exceptional experiences for families and visitors.
  • Excellent organizational and office management skills
  • Excellent written and verbal English communication skills.
  • Experience using Google Workspace and database management systems.
  • Demonstrated initiative, adaptability, and a positive, service-oriented approach to work in a collaborative environment.
  • A minimum of two years of experience in admissions, customer service, hospitality, event coordination, school administration, or supporting internationally mobile families is preferred
  • Professional proficiency in Mandarin is preferred.
