The Legal Administrator will assist with managing activities related to Greenway’s contracts, policies, privacy program and related items. The candidate will also assist with other legal projects that may be occasionally required, including assistance with policy management, vendor contracts, and focus arrangements/corporate integrity agreement compliance. This position utilizes a high level of independent judgment, use of industry best practices, coordination with other departments and programs, and follow-through. This role requires the ability to multi-task with competing and changing priorities, attention to detail, and excellent collaboration and communication skills.  

Essential Duties & Responsibilities 

  • Maintain, organize, and update the Legal Department's record keeping system
  • Manage the legal request SalesForce ticketing system by assigning and tracking legal tickets
  • Handle administration of contracts, including maintenance of templates in coordination with the attorneys and use of the contract management system (currently SpotDraft and SalesForce.
  • Assist with migration of legal ticketing intake system
  • Assist with managing privacy matters and systems
  •  Responsible for overseeing Legal Department policies and procedures
  • Respond to basic inquiries regarding contract obligations
  • Requires thorough understanding of legal contract structures and basic understanding of legal contract terms
  • Acts as a liaison with other departments and outside parties and assists in responding to internal requests for assistance made to the Legal Department
  • Other projects and tasks, as requested 
Skills & Requirements

Education and Experience

  • High School Diploma/GED
  • Three (3) to five (5) years of relevant legal assistant experience, preferably in a law firm or corporate setting and a willingness to learn

Skills, Knowledge, and Abilities 

  • Excellent technology skills and high proficiency with all Microsoft Windows applications
  • Proficient with legal terms and procedures
  • Ability to write clearly and accurately
  • Experience with or ability to learn and maximize the use of other available technology, including contract management and electronic billing systems
  • Strong working knowledge of contracts
  • Excellent attention to detail and organization skills with the ability to manage multiple priorities
  • Ability to maintain confidential and secured information

Work Environment/Physical Demands 

  • While at work, this position is primarily a sedentary job and requires that the associate can work in an environment where they will consistently be seated for the majority of the workday 
  • This role requires that one can sit and regularly type on a keyboard the majority of their workday 
  • This position requires the ability to observe a computer screen for long periods of time to observe their own and others’ work, as well as, incoming and outgoing communications via the computer and/ or mobile devices 
  • The role necessitates the ability to listen and speak clearly to clients and other associates
