Maintenance Planner/Purchaser

Job Description Purchaser
• Job Duties include working with mechanics in a team environment to identify needed parts, locating suppliers of needed parts, issuing purchase orders, tracking delivery, and accurate receiving of all parts.
• Conducts appropriate follow-up for open PO's (expediting, delivery verification, maintenance of past due orders, requests for pickups, receipts, material movement, etc.).
• Obtain competitive product quotes and negotiate pricing; administer purchase requisitions for supplies and equipment for entire facility. Searches out alternate suppliers to be prepared in case of material shortages and stock outages.

Budget Control and Tracking
• Control purchasing budget, analyze monthly expense reports, report inconsistencies in spending and usage to Corporate Manager
• Tracking total parts spending on a weekly basis is also required.
• Assist in resolution of Accounts Payable issues

Inventory Management and Maintenance
• Inventory Management and monitoring to ensure lowest possible inventory levels while maintaining highest availability of parts.
• Cycle Count monitoring and discrepancy investigations
• Determining Minimum and Maximum quantities of individual parts stored in inventory.
• Scheduled reviews of inventory levels and usage to determine obsolescence.
• Development of Bill of Materials for large rebuilds.
• Participate in the development of specifications for equipment, products, or substitute materials.

Tool Crib and Personnel Management
• Direct and coordinate activities of plant personnel engaged in requesting and distributing materials, equipment, and supplies.
• Responsible for compliance by all tool crib personnel of purchasing and contract instructions, policies, and procedures.
• Responsible for the scheduling, daily management of activities, training and performance reviews for all tool crib personnel.

Maintenance Planner
• Execution of database for all equipment within his/her area of responsibility.
• Set up and maintains libraries for lubrication standards.
• Participate in the interface process with the recipients of maintenance services. The coordinator is a key link between Maintenance, Production and Sanitation.
• Plan maintenance work – The planner understands the request and coordinates access to the equipment with operations planning.
• Maintains work order status and flow of work orders through the CMMS. The planner owns all work orders until they are ready for scheduling.
• Maintains maintenance KPI’s to ensure effective utilization of all maintenance resources.
• Set up and maintain If-Down-Do work list system. Update list as needed based on production schedule.
• Setup and coordinate department training and education to others in the fundamentals of maintenance with guidance from Maintenance Manager.
• Coordination of weekend maintenance coverage to ensure scheduled work and labor hours are balanced.
• Coordination of outside contracted services when scheduled work orders are generated or when emergency work is needed for the facility.
• Backup to Technical Buyer to provide coverage for the department.

Skills & Requirements Skills:
• Ability to write routine reports and correspondence
• Ability to communicate effectively with employees and managers
• Engineering or Technical degree related to refrigeration preferred but not required
• High level of experience with excel spreadsheets, Microsoft Office Suite, and a computerized maintenance management system purchasing system. Excellent people skills are a must as is a desire to solve difficult procurement issues.
• Ability to demonstrate excellent work habits in line with Good Manufacturing Practices (GMPs)
• Ability to work any shift, nights, weekends, holidays, and extended hours as needed
• Ability to work efficiently with little or no supervision

• 3-5 years’ experience working in procurement in an industrial company. Food Industry experience is a plus.
• High level of attention to detail. Must be organized, and have the ability to maintain accurate records.
• A background in proper accounting practices that pertain to procurement in an industrial environment preferred.
