We are seeking a Night Warehouse Administrative Assistant 

Schedule:  Monday thru Thursday 7:30pm - 6am

I. POSITION SUMMARY

The purpose of the Night Warehouse Administrator position is to support the management of the Distribution Center night shift operation.  The incumbent will exercise discretion and independent judgment in the execution of a variety of programs intended to bring about a higher level of efficiency and customer satisfaction to the work product of the night warehouse shipping operation in the Distribution Center.
The incumbent will work closely with the Night Managers taking responsibility for including but not limited to route wave construction, pick label printing, invoicing, and driver daily paperwork assembly.  Will also perform data input for production work reporting, analyze or disseminate appropriate recordable data that will be useful in the overall improvement of the warehouse and delivery service offerings, and assist in improvements and efficiencies that ultimately increases customer satisfaction and increase productivity.

II. ESSENTIAL POSITION RESULTS

• Optimize timely communication within the warehouse by answering general warehouse telephone extension and distributing calls accordingly.
• Assemble route waving, print production pick labels in a timely fashion.
• Create invoicing as the routes complete and assemble driver paperwork.
• Input production activity data into various spreadsheets and programs as directed by night management.
• Maintains a professional team environment by communicating effectively with peers, office, salespeople, warehouse personnel, supervisors and manager.
• Maintains customer confidence and protects operations by keeping information confidential.
• Maintains a clean and safe working environment by complying with safety procedures, rules and regulations.
• Assists in identifying current and future service requirements by establishing a rapport with stakeholders.

• Achieves overall work objectives by gathering pertinent data, identifying and evaluating options, and choosing appropriate courses of action.
• Contributes to team effort by accomplishing related results as needed

III. SUPERVISORY RESPONSIBILITIES

This position has no supervisory responsibilities.

IV. MINIMUM QUALIFICATIONS

Education, Certifications and /or licenses:

• High school diploma is required; and a 2-year college degree in Business Administration or Accounting (or equivalent) is preferred for this position


Experience:

• Two years of progressive experience in a customer service, administrative assistant or analyst position is necessary for this position.
Knowledge/Skills:

• This position requires demonstrable skills in computer aptitude, including ability to work with and develop spreadsheets and word processing documents.
• This position requires basic accounting skills and the ability to enter long lists of checks.
• A professional demeanor is necessary as there will be many occasions that the incumbent will interface with co-workers and customers alike.
• The incumbent must be able to work independently as well as work effectively with other company operatives in cross-functional initiatives.

V. PHYSICAL DEMANDS

Much of the interoffice communication between associates is by way of telephone and e-mail.  There are however some tasks that involve personal, face to face communication.  The incumbent will have limited required access to walk throughout the facility during the day to execute some tasks.

This job is performed in the warehouse dock office.
