Job Description

In the role of Program Assistant, you will be responsible for:

  • Assist Program Director and perform administrative and clerical duties to assist in the operation of Early Career programs in New Jersey .

  • Collaborate with New Jersey Early Career staff to provide quality customer service to participants and visitors.

  • Process bills and expense reports.  Assist in tracking program expenses through daily, weekly and monthly reconciliation of bills, incentives and all other client allowances.

  • Prepare and deliver staff and client payroll data.

  • Coordination of location, agenda and materials for program meetings and trainings and, as needed for division meetings.  Prepare and distribute minutes following meetings.

Skills & Requirements
  • High school education or equivalent

  • Three years of relevant work experience

  • Familiarity with basic accounts receivable (AR) and accounts payable (AP) principles.

  • Well organized and able to prioritize in a high volume, fast paced environment

  • Professional phone etiquette and pleasant demeanor.

  • Willing to work flexible hours when needed, including some evenings and some Saturdays

  • Willing to travel throughout Counties in New Jersey
