Our Workplace Coordinator is the first impression of Vertafore. They will be managing our front desk and, as such, are the first face guests will meet upon arrival at our Pulaski Center of Excellence. They must be comfortable in a fast-paced, growing, modern technology office. They will report to the Sr. Manager, Workplace Services and support the Workplace Services team and Site Leader, while acting as a liaison between all vendors, visitors and employees. Previous front desk coordination will be extremely helpful in this role. 

Core Requirements and Responsibilities:  

Essential job functions included but are not limited to the following:

Greet all vendors and visitors in a courteous and professional manner, while determining the nature of their visit and following all guest procedures  

Responsible for daily front desk coverage and coordination; this includes tasks such as, but not limited to answering inquiries, providing lobby access to all non-employees, directing all guests, and notifying employees upon visitor arrival  

Coordinate with Managers regarding candidates that are visiting the office for interviews  

Manage all access card processes and employee documentation in our security system in coordination with the buildings security procedures  

Manage/distribute mail and employee deliveries, as well as employee shipping needs  

Maintain cleanliness in the reception and surrounding areas, while restocking necessary items  

Assists the Workplace Services team as needed with projects, events and daily facility needs  

Other duties as assigned 

Skills & Requirements

Knowledge, Skills and Abilities:  

  • Customer-centric and motivated to help people 

  • Commitment to facilitating a clean, efficient and welcoming reception area 

  • Ability to exercise discretion and independent judgment in performance of daily duties 

  • Able to accomplish individual and team goals through personal organization and time management 

  • Able to build productive working relationships internally and externally and work as a team 

  • Proven competencies in software applications and programs, particularly Microsoft Office including Excel, Word, PowerPoint, and Outlook 

 

Qualifications:  

  • 1-2 years of customer service experience  

  • Experience as a front desk coordinator or receptionist is highly preferred 

 

Additional Requirements and Details:  

  • Located and working from an office location, Monday – Friday  

  • Ability to lift and move up to 30 pounds. 

  • Ability to reach overhead often. 

  • Frequent repetitive hand and arm movements required to operate a computer.  

  • Specific vision abilities required by this job include close vision (working on a computer, etc.). 

  • Frequent sitting and/or standing.

Qualifications Vertafore is a Flexible First working environment which allows team members to work from home as often as you’d like, while using our offices as a place for collaboration, community, and teambuilding. There are times you may be asked to come into an office and/or travel for specific meetings for a specific business purpose and this varies by job responsibilities.

The Professional Services (PS) and Customer Success (CX) bonus plans are a quarterly monetary bonus plan based upon individual and practice performance against specific business metrics.  Eligibility is determined by several factors including: start date, good standing in the company, and actives status at time of payout.

The Vertafore Incentive Plan (VIP) is an annual monetary bonus for eligible employees based on both individual and company performance.  Eligibility is determined by several factors including: start date, good standing in the company, and actives status at time of payout.

Commission plans are tailored to each sales role but common components include quota, MBO's and ABPMs.  Salespeople receive their formal compensation plan within 30 days of hire.
