We are seeking a highly organized and proactive Executive Assistant to provide exceptional support to our UK Leadership Team in a dynamic, transformational, and technology-enabled environment. This role is pivotal in ensuring the smooth operation of executive activities, enabling leaders to focus on strategic priorities while driving innovation and change across the organization. You will also play a vital role in ensuring the smooth running of our office environment, providing essential logistical and administrative support and help maintain an efficient, welcoming workspace for colleagues and visitors.
Role Description (What you will be doing)
· Proactively manage complex calendars and commitments, ensuring alignment with strategic priorities and minimizing scheduling conflicts to maximise leadership impact.
· Prioritise and triage incoming requests, ensuring executives are focused on high-value activities.
· Provide inbox oversight and streamline information flow for timely decisions.
· Prepare compelling presentations and briefing documents that enable informed decision-making and communicate strategic initiatives effectively.
· Coordinate internal and external engagements with precision, setting up meeting rooms, ensuring technology readiness for virtual sessions and seamless logistics for in-person meetings that drive outcomes.
· Support the Facilities Manager with daily office administration tasks such as receiving deliveries, maintaining stock levels, coordinating equipment repairs, and dealing with access control through the security cards.
· Manage purchase orders, vendor records, and expense processes in compliance with company policy, contributing to financial accuracy and operational efficiency.
· Collaborate closely with other Executive Assistants to share best practices and provide flexible support, strengthening resilience across the leadership support function.
Role Requirements & Capabilities (the skills and experience required)
· Demonstrated success supporting senior global executives within a fast-paced, professional services or technology-driven organization, contributing to strategic outcomes rather than purely administrative tasks
· Experience managing complex stakeholder groups and senior leadership teams, ensuring alignment with organisational priorities and strategic initiatives. (Coordinating complex international travel, visa requirements, and itineraries).
· Able to support the setup and reset of meeting rooms and move office equipment as required, with appropriate support or adjustments where needed.
· Demonstrated ability to prioritise effectively, anticipate needs, and act independently to resolve challenges and improve processes.
· Proficiency in Microsoft Office Suite (including Copilot and collaboration tools) and familiarity with booking systems.
· Excellent interpersonal skills to liaise confidently with internal teams and external visitors.
· Exceptional attention to detail and ability to manage sensitive information with discretion and integrity.
