PRINCIPAL RESPONSIBILITIES:

Under the direct supervision of the Client Safety Services (CSS) Manager and Assistant Manager, the CSS Administrative Coordinator is responsible for supporting the CSS Management Team, performing administrative tasks as needed.  This position serves as a communication resource for the CSS team, ensuring information is disseminated among team members efficiently and clearly. This position is responsible for collecting and distributing mail in an accurate and timely manner, and works in collaboration to schedule, organize, make phone calls and assist CSS Management in any capacity.

MAJOR DUTIES:

  • Ensures all incoming calls to the general CSS line are answered and handled appropriately between 8am and 4:30pm, Monday-Friday.
  • Gives information to callers and visitors in a professional and courteous manner in line with the SAF values and CSS work, referring them to appropriate team members as needed. Receives, greets and escorts visitors and notifies appropriate staff of their arrival.
  • Provides assistance with preparing and editing contracts with external partners as needed.
  • Maintains accurate records of contract start and end dates and staffing requirements, and circulates it to CSS Management monthly or as needed.
  • Works closely with the CSS Management to ensure the effective flow of resources and people throughout the business at all times, adhering to the specific needs of each contract.
  • Research nonprofits and other potential customers to create leads for CSS Management.
  • Creates and maintains accurate records of team members and other information as needed.
  • Supports CSS Management with scheduling, coordinating video conference meetings, interviews, small projects, tasks, arranging and meeting external visitors.
  • Maintains CSS Team time off schedule. Maintains a document with this information and circulates it to CSS Management monthly or as needed.
  • Maintains records of CSS team trainings. Maintains a document with this information and circulates it to CSS Management monthly or as needed.
  • Assists the CSS Manager with the recruitment of job-seekers for open positions.
  • Assists with meeting and training plans, completing work orders on behalf of CSS, arranging meeting rooms, food, beverages, and audio visual equipment set up (through IT or Ops) for meetings and trainings as needed.
  • Maintains attendance files for meetings, trainings and CSS employee development and provides support for minute-taking when required.
  • Compiles weekly inventories of office stationery and restocking where necessary.
  • In the absence of Administrative Assistant, fills in at the Front desk.
  • Performs other duties as needed by CSS Management.
  • Adheres to the guidelines of the SAF Safety Program.
  • Complies with SAF's goals and the SAF Statement of Values.
Skills & Requirements

MINIMUM QUALIFICATIONS:

  • High School or Associates degree preferred or demonstrated experience including: general office work with answering telephones and recording messages and strong organizational skills.
  • Excellent communications skills with pleasant, polite phone manner and good judgment.
  • Ability to perform data entry in an accurate and timely manner.
  • Ability to accurately communicate with team members.
  • Ability to work well as a member of a team and work with minimal supervision.
  • Ability to complete neat, legible phone messages and notes.
  • Commitment to SAF Mission and Statement of Values.
