Job Description

Proposal Coordinator

Houston, TX

 Onsite

About Us

Iapetus Infrastructure Services is a Houston-based, MBE and veteran-owned utility infrastructure services firm. Through our operating companies (Atlas Field Services, Apex LineWorks, Gold Coast Utility Specialists, Hyperion Voltage Experts, and Soaring Eagle Technologies) we support utilities across the country with inspection, T&D line construction, storm restoration, project management, and drone-based inspection services.

The Role

We're looking for a Proposal Coordinator to help manage our bid and proposal work. You'll work directly with the Director of Business Development and our operations teams to turn RFPs into clear, compliant, on-time submissions. This role suits someone who is organized, writes well, and likes keeping a lot of moving pieces on track.  The role will report to our Houston office located in the Galleria area.

What You'll Do

•       Track incoming RFPs, RFQs, and bid opportunities, and maintain the proposal calendar

•       Read solicitations closely and build compliance checklists and response outlines

•       Coordinate input from operations, safety, finance, and leadership, and keep contributors on schedule

•       Write, edit, and format proposal sections, resumes, past performance, and company qualifications

•       Maintain a library of reusable content, templates, and certifications

•       Prepare required forms, pricing sheets, and supplier diversity documents

•       Handle final quality checks and submission through utility and public procurement portals

•       Use AI tools to speed up research, first drafts, compliance checks, and content reuse

•       Support sales materials, capability statements, and presentations as needed

What We're Looking For

•       2–5 years of experience in proposal coordination, business development support, or technical writing

•       Strong writing and editing skills with close attention to detail

•       Proficiency in Microsoft Word, Excel, and PowerPoint; Adobe InDesign a plus

•       Hands-on experience using AI systems (such as Claude, ChatGPT, or Microsoft Copilot) in writing or proposal work, with the judgment to check output for accuracy

•       Ability to manage multiple deadlines at once and stay calm under time pressure

•       Experience with utility, energy, construction, or government contracting is a strong plus

•       Bachelor's degree in communications, English, business, or a related field preferred

What We Offer

•       Health, dental, and vision insurance

•       Paid time off and holidays

•       401(k)

•       The chance to grow with a fast-moving firm serving critical infrastructure
