Job Description

Northeast Family Services is seeking an experienced Administrative Assistant to work directly with 
our Program Director providing administrative support. You will be responsible for performing a 
variety of administrative duties including preparing reports, answering phone calls, managing 
referrals, scheduling initial assessments, verifying benefits, uploading documents to an electronic 
health record, faxing, collection of copayments, receiving visitors and other organizational and 
clerical tasks. The ideal candidate is self-motivated, professional, capable of managing their 
workload and able to prioritize tasks in a fast-paced environment. This is an excellent opportunity to

Responsibilities:

  •  Manage day-to-day administrative tasks including scheduling initial clinical and medical 
    evaluations. 
  • Coordinate client appointments, ensuring timely scheduling and appropriate allocation of 
    resources. 
  • Managing internal billing processes. Including collection of co-payments and deductibles. 
  • Maintain accurate client records and ensure compliance with privacy and confidentiality 
    regulations. 
  • Perform administrative and office support, such as typing, reporting, spreadsheet creation, 
    faxing, and maintenance of filing system and databases.
  • Prepare reports, documents, as well as coordinate referrals, as appropriate.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Monitor, screen, respond to and distribute incoming communications.
  • Resolve client concerns and complaints, providing excellent customer services and ensuring 
    client satisfaction. 
  • Serve as a liaison between clinical/medical staff and clients – fostering effective 
    communication and relationships. 
  • Answer and manage incoming calls.
  • Work within an electronic health record.
  • Receive and interact with incoming visitors; Interact with external clients.
  •  Maintain professionalism and strict confidentiality with all materials, and exercise discretion 
    when interfacing with other

Required Experience:

  • 3-5 years of experience in an administrative role supporting mid to senior-level management
  • Office management in a healthcare setting or similar: 3 years.
  • Proficiency in Microsoft Office (Word, Excel and PowerPoint) with the aptitude to learn new software and systems.
  • Overall awareness of medical record keeping, insurance pre-certification, healthcare billable coding, reimbursements and insurance company relationships.
  • Excellent written and verbal communication skills
  • Excellent time management skills and the ability to organize and coordinate multiple projects at once.
  • Knowledge of and experience in standard administrative practices and procedures
  • Ability to organize and manage a large daily workload.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • Able to work without supervision; must be self-directed Ability to keep company confidences.

Compensation:

  • Full-time: Salary 45k-50k
