SUMMARY:
The Supply Chain Specialist is responsible for managing on-site end-to-end purchasing, inventory coordination, and supply chain activities to support cannabis manufacturing operations. This role owns the full purchase order lifecycle, maintains accurate system data within Acumatica, and ensures timely material availability to meet production needs.

The position plays a critical role in vendor management, SKU and item master maintenance, and inventory optimization, while also supporting BOM management and cross-functional alignment with Production, Inventory, and Operations teams. This individual will also drive process improvements to increase efficiency, reduce costs, and support scalable operations.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES (this list is not all inclusive)

·        Owns the full purchase order lifecycle, including creation, submission, tracking, and closure within ERP systems.

·        Manages vendor relationships, including communication, performance tracking, and issue resolution.

·        Participates in vendor negotiations related to pricing, lead times, and service levels.

·        Monitors inventory levels and coordinate replenishment to ensure material availability without overstocking.

·        Aligns purchasing activities with production schedules and demand forecasts.

·        Creates, maintains, and audits SKUs and item master data within Acumatica, ensuring accuracy and consistency.

·        Supports Bill of Materials (BOM) creation, updates, and validation within the ERP system.

·        Partners with Production Planning, Inventory Control, and Warehouse teams to ensure smooth material flow.

·        Tracks open orders and proactively identifies risks related to delays, shortages, or supply disruptions.

·        Maintains accurate records of purchasing activity, vendor data, and system transactions.

·        Identifies cost-saving opportunities and alternative sourcing options.

·        Supports inventory accuracy initiatives, including cycle counts and reconciliation efforts in coordination with Inventory Control.

·        Maintains working knowledge of cannabis inventory tracking systems (e.g., METRC) and ensures alignment with internal processes where applicable.

·        Identify process gaps, recommend improvements, and assist in developing standardized workflows and SOPs.

·        Leverages ERP capabilities to improve reporting, visibility, and decision-making.

·        Executes ad hoc projects assigned by direct supervisor.

PHYSICAL REQUIREMENTS

·        Constantly: perform repetitive motions and use of hands and fingers for keyboard, mouse, and data entry tasks.

·        Constantly: required to use visual acuity (with or without job aids) to read, work at a computer, and perform detailed visual inspections involving small parts.

·        Frequently: stand and walk on the production floor; lift and move up to 25–40 lbs as needed.

·        Occasionally: remain seated or stationed at a workstation for extended periods while entering and verifying data.

·        Occasionally: bend, reach, stoop, or move within warehouse and production environments.

·        Ability to work in a busy production environment with changing priorities.

 

EDUCATION AND EXPERIENCE REQUIRED

·        High school diploma or equivalent required; additional coursework in supply chain, operations, or business preferred.

·        2–4 years of experience in supply chain, procurement, inventory, or operations roles.

·        Hands-on experience managing purchase orders and vendor coordination required.

·        Strong working knowledge of ERP systems; Acumatica experience strongly preferred.

·        Experience with SKU creation, item master data management, and inventory coordination required.

·        Exposure to BOM management and production environments preferred.

·        Strong Excel or Google Sheets skills with the ability to manage and analyze data.

·        Basic familiarity with cannabis compliance and tracking systems (e.g., METRC) preferred.

·        Experience in manufacturing, CPG, or regulated environments highly preferred.
