Sr. Manager, Lease Administration

Job Description

Nature and Scope of Position:

Maintain all corporate owned and leased real estate in the portfolio and coordinate with the Operations, Legal, Accounting and Finance departments for lease compliance.  Oversee proper Landlord/Store Manager interactions regarding compliance with lease provisions. Maintain accurate database of abstracts and summaries of pertinent real estate documents and correspondences.

Essential Functions:

  • Lease document data management:
    • Maintain software, systems and procedures to abstract, summarize, track and administer leases and owned real estate obligations. Maintain lease administration policies and procedures and lease administration tools.
    • Coordinate with the Legal Department to ensure all leases, amendments, terminations, extensions and pertinent correspondence are abstracted, organized and accurate.
  • Renewal and critical date management:
    • Maintain a rolling list of critical dates looking 24 months forward.Track early termination options, co-tenancy kick-outs, minimum occupancy kick-outs, option renewals and all other critical notice provisions. Assist in preparing summarized monthly update reports for executive presentation.
  • Lease documentation:
    • Manage all estoppels, SNDAs, stipulation agreements and any other ancillary documents related to ARBH leases and/or contracts
    • Review and draft lease documentation
    • Manage approvals and signatures of leases, renewals, amendments, etc
  • CAM reconciliation:
    • Assist with CAM payments
    • Dispute CAM charges per lease provisions
  • Other duties:
    • Coordinate with title companies for new locations, purchases, sales

 

Daily Duties:

  • Assist with drafting lease amendments/modifications/rent reductions and renewal notices.
  • Maintain a thorough knowledge of the Lease provisions.
  • Act as the liaison between ABRH and its Landlords regarding all matters concerning the common areas and other lease compliance provisions. Maintain a good working relationship with landlords.
  • Establish and maintain lease administration processes and coordinate best practice policies and procedures among real estate, accounting, legal and any other departments.
  • Manage and maintain the lease administration database. 
  • Analyze, review and perform lease database entries as needed.
  • Maintain all legal documents within the lease administration system.
  • Manage and communicate critical dates including, but not limited to, renewal options, expiration dates and early termination dates.
  • Accountable for lease renewal process including communication of upcoming renewals, tracking appropriate approvals and documenting the outcome of ABRH'S decisions.
  • Review, modify track, manage and maintain all Estoppels and SNDAs, stipulation agreements and any other ancillary documents related to ARBH leases and/or contracts.
  • Work closely with and provide support to facilities and operations team
  • Assisting with the resolution of all Property Management related issues for all ABRH stores.

Certifications or Licenses:

  • Paralegal.

    Travel Requirements:

  • Not required.

    Skills and Knowledge:

  • Ability to understand and interpret restaurant leases – including the ability to abstract leases and compute rent obligations.
  • Must be familiar with the suite of Microsoft Office products, including Word, and Excel at an intermediate level;
  • CoStar Real Estate Manager software experience a plus, but not required
  • Ability to communicate (verbal and written) effectively, and work positively in a team environment.
  • Ability to multi-task, perform detailed work in a proficient manner meeting deadlines and working under pressure.
  • Ability to demonstrate strong analytical skills.
  • Ability to work independently within pre-established guidelines.

    Education and Experience

  • Minimum 3 years Lease Administration experience required; restaurant / shopping center preferred.Paralegal experience desired.
  • Strong background in accounting is desired.
  • High School Diploma or GED is required.
